Trip Request and Provider Schedule Management using PtMS on the Web

PtMS supports standing order and demand order entry of trip requests. Once trip requests are assigned to providers, these scheduled trip are distributed to providers using the PtMS on the Web Medicaid Brokerage website. A specific site is setup for each broker. Broker's then assign logins and passwords to providers so they can login each day to obtian their scheduled trips, and to verify trips services provided on previous days.

Prior Approval Authorizations

Each scheduled Medicaid transportation service is linked to a Prior Aproval Record in PtMS. This record contains all the information needed to submit an electronic request for Service Authroization in HIPAA format to EmedNY/Epaces website. Once a provider has verified at least 1 transportation service day was provided under this prior approval request, PtMS can submit the information to EmedNY as a Service Authorizaiton request which will then be issued an 11 digit prior approval number that the provider can use for Medcaid billing for these trip services.

These Service Authorization requests are submitted by the provider several times a week in the form of an eleectonic batch that is produced by the PtMS system . The PtMS user then logs onto the EmedNY website and uploads the batch service authorization requests file.

These requests are generally processed overnight and EmedNY returns a result file with the assigned authorizations numbers. The user downloads this results file and updates the PtMS database with the assgined prior approval numbers. A Prior Approval Roster report is then run and distributed to the providers via the PtMS website. This report contains the assigned prior approval numbers.

Medicaid Electronic Billing for PtMS Providers

ABS has Medicaid electronic claims software that is integrated with the broker's PtMS website data system. Providers that are looking for a simplified electronic billing solution for their Medicaid billing can purchase this module. It will allow them to download Prior Approval and trip services information from the broker's PtMS website for trip services they have provided. Providers can then submit these services to EmedNY for payment as electronic batch claim files without rekeying any data.

Client Medicaid Eligibility Verificaiton

All clients scheduled for a transportation service in a selected date range (the upcoming schedule week or month) can be selected for eligibility verfication. PtMS will create a batch file containing each client's eligibility request information in the proper HIPAA format. The PtMS user logs in the the EnedNY/Epaces website and uploads the batch file for processing.

Generally within a 4 hour period EmedNY will process the eligibility verification requests and return a results file that the user downloads and processes in PtMS producing a report of each clients eligibility status:

Training and Implementation Services

Your PtMS system includes on-site training and implementation services convering all aspects of PtMS operations: client enrollment, order taking, prior approval management, PtMS website operations, and reporting. PtMS can even manage other transportation contracts on the same system (there is no limit to the number of contracts with different billing rate systems that can be managed in PtMS).

Your PtMS system includes a CD Video training series set for PtMS and for the PtMS on the Web operation.

Conversion of your existing database into PtMS format

ABS can convert schedule or billing data you may have in electronic form (such as excel spreadsheets, access database, even stored in Word) into PtMS format so that this data does not have to be rekeyed by hand to start your new system.

Remote Online Support

ABS Remote Desktop immediately connects you to an ABS support technician who can assist you with software operation questions.. Since we see what you see and share control of the mouse and keyboard, it's as if we're right there in your office with you. When the problem is solved, close the program and the connection closes. We only have access when you run the program.

Annual software maintenance and support services

Your PtMS software system includes 1 year of support and software maintenance (updates) from ABS. Support services include phone support, online desktop support, email support, and access to website on-line help and training videos.

Multi-user operation on Windows based networks

PtMS will operate multiuser over a Windows network with a Windows 2003 server and XP workstations. There is no limit to the number PtMS users that can be connected to a server. The PtMS on the Web website can support an unlimited number of providers and users. There is no additional licensing costs for website users.
